What is a Cohort?
A Cohort is a group of users assigned to complete a program together in the same period of time. Just as a single university-level course might have many classes, your company's programs can support multiple groups of users. Creating Cohorts ensures consistency and timeliness for training specific groups of users. When building a program to onboard new hires, for example, a team might decide to add their new users as a Cohort to ensure they complete their foundational training together and on time. While cohorts change as active users complete your Custom Program and new ones enroll, the parent program stays the same and is the basis for future versions of the Custom Program.
Where Can I Use Cohorts?
Only Custom Programs use cohorts. Cohorts cannot be created for external Marketplace Programs or Academies.
What is a Parent Program?
Parent programs can be thought of as a “source" or “template” for Custom Programs with Cohorts. When creating a Cohort, the content from the Parent Program will be duplicated and can be customized as much or as little as desired per Cohort.
Parent Programs must be published if an Admin is setting up Cohorts. Once Parent Programs are published, Cohorts will be visible and inherit the following metadata from the Parent Program:
- Program Name (cannot be edited per cohort)
- Short Description (cannot be edited per cohort)
- Program Length (cannot be edited per cohort)
- Tags (cannot be edited per cohort)
Frequently Asked Questions
When would I use Cohorts versus creating duplicate Custom Programs?
Duplicate Custom Programs are recommended when the titles and descriptions of the Custom Program you want to create will be different. Duplicate Custom Programs are also recommended if you want each Custom Program to show up separately to Users in the list of Custom Programs available to them.
Alternatively, create a Cohort when the titles and descriptions of the Custom Programs will be the same, and you want to attach cohort “dates” to the Custom Program. Admins can change content, projects, due dates, and more for each unique Cohort, but metadata like the Custom Program title and description stays the same across Cohorts.
How can I see aggregate reporting across all Custom Program Cohorts?
Reporting across Cohorts is not currently supported in the platform. Reports are only shown per Cohort.
What if my program's cohorts are restricted? Will they be visible to Users exploring programs?
Regardless of whether the parent program is public or restricted, if all cohorts associated with a program are set to restricted, that program will not show when Users navigate to Explore > Programs. Regardless of whether the parent program is public or restricted, if some cohorts are public and others are restricted, the program will show when Users navigate to Explore > Programs. Note that the parent program must be published, however, for Cohorts to be visible to Users.
If we modify the curriculum in one Cohort will it be reflected in other Cohorts?
No, each cohort has its own curriculum and when changes are made to a Cohort, they apply only to that cohort.
How many Cohorts can a Custom Program have?
There is no limit on how many Cohorts a Custom Program can have at this time.
Are there a specific number of seats per cohort?
No, we do not support a set number of seats at this time.
Can cohorts have different privacy settings than the Parent Program?
Yes, each Cohort can have individual privacy settings (public or restricted). Each privacy settings configuration is unique to the Cohort and is not dependent on the Parent Program.
How do I add a cohorted program to an Academy?
Once a parent program has been embedded in an Academy, published cohorts will be visible to Users. Users can select the cohort date range of their choice.
