About Columns
You can select up to five columns, then choose the operators that return only the specific data you need. Text fields include operators such as starts with, ends with, and includes. Date fields use the date picker. Number fields include operators such as equal to, greater than, and less than.
You can filter by columns not selected in the Change Columns drop down, however the column will not display in the report results.
For example, you may want to filter your report by User Last Name without displaying users' last names in the results. You can uncheck the column in the Change Columns drop down so the data does not display, while still filtering the report based on this column.
About the Report Date Range
Several reports include a required, default date range filter that limits the results to only include activity completed during the selected dates. The date range is based on a specific column (or field) of data, such as Created Date, or Last Viewed Date. The column and date range are included on the Filter dialog.
When previewing a report, the Filter button indicates if the date range filter is included:
- - If the button text includes the number 1, the filter is included and applied.
- - If the button text does not include the number 1, the filter is not included.
For reports that include a date range filter, the default date is set to Last 1 Day. Since the date range is required, you can change the date, but you cannot remove the date setting. The column does not show in the report results and is not counted towards the five column limit.
Example
Let's say on July 21st, you create a Completions (Summary by User) report so you can determine how many content items your users completed in the last 7 days.
Since this report includes a default date range based on the Created Date (the date a user marked an item complete), you set the date range to the "Last 7 days." The report results will include data for any items marked complete between July 14th and July 21st, or "today."
Juan has three completions in total.
- He completed Course A on June 5th.
- He completed Course B on July 16th.
- He completed Course C on July 19th.
In the report results Juan's data includes:
- Latest Completion Date: July 19th. This is the latest date, within the selected date range, that Juan marked any items complete.
- Content Completed: 2. Juan completed 2 items during the selected date range.
Juan completed Course A before the starting date (July 14th) for the selected date range. Therefor, no data is included in the results for Juan's completion of Course A.
